This policy describes how OnePass Systems and Matt James LLC (OnePass Systems submission software) handle information you provide through the consumer intake flow and client portal.

What we collect

Business details you enter in guided intake, contact information (name, email, company, phone), documents you upload to your Secure Portal, and messages between you and your broker.

How we use it

To organize your submission, allow your licensed broker to review and place coverage, send portal sign-in codes and account notices, and improve the intake experience. We do not sell your personal information.

Retention & security

Data is stored in secured systems appropriate for insurance submission workflows. Retention follows broker and carrier requirements for active and closed files.

Your choices

You may request access or correction of contact information through your broker. Portal access can be revoked when a file is closed.
