Terms of Service
These terms cover the OnePass Systems website, agency workspace, intake, and applicant portal owned and operated by OnePass Systems LLC. If an agency has a signed subscription agreement with us, that agreement controls where it conflicts with these public terms. An agency may also have its own terms for the brokerage services it provides.
Using OnePass
You must be authorized to use an agency workspace or a specific intake or portal offered to you. An agency subscription is for that agency's own insurance operations. Its employees, officers, and contractors working for it may receive access under the applicable plan. Another agency or outside business needs its own authorization. Do not share credentials, resell access, impersonate someone, bypass access controls, or use OnePass unlawfully. Agencies must remove access when someone no longer works on their behalf.
Agency and applicant responsibilities
Agencies decide what information to collect, review, keep, and share in their insurance work. They are responsible for appropriate notices, permissions, licenses, and professional review. Applicants and other users should give information that is accurate to the best of their knowledge and upload only material they are authorized to provide. Keep sign-in links and codes private, and report suspected unauthorized access promptly.
Insurance work and automated tools
OnePass provides workflow software. It is not an insurer or insurance broker and does not quote, bind, issue, or guarantee coverage. Intake questions, document extraction, AI suggestions, form preparation, and quality checks can be wrong and require human review. Licensed brokers and the relevant markets remain responsible for coverage advice, submissions, underwriting, quotes, binding, and regulatory duties. A portal confirmation or software status does not create coverage.
Connected services and messages
Email and other integrations are optional, require the account holder's authorization, and may also be governed by the provider's terms. A connected broker must review recipients, content, and attachments before sending. A user may disconnect an integration. Messages and documents already saved to an agency file remain subject to the agency's recordkeeping duties. Third-party systems can delay or fail to deliver a message.
Content and privacy
The agency and its users keep their rights in content they submit. They authorize OnePass Systems LLC and its service providers to process that content as needed to provide and secure OnePass, follow their instructions, and comply with law. The agency is responsible for having the rights and permissions needed to submit it. Our Privacy Policy explains how we handle information.
Plans, availability, and changes
Paid plans, limits, renewals, and charges follow the applicable plan and subscription agreement. We may change the service and will give notice of material changes when an agreement or law requires it. We work to keep OnePass available and secure, but maintenance, incidents, and third-party failures may interrupt access. We may suspend access when reasonably needed to address a security risk, unlawful use, or a material breach.
For agencies on person-based pricing, the monthly rate uses the number of accepted agency staff accounts and the agency's retail and wholesale workspace access. The included AI processing is shared by the agency and grows with that count. Work beyond the included pool can create additional processing charges at the rate shown on the pricing page or in the agency's agreement. The agency can review its usage in OnePass. Earlier fixed-tier agreements remain under their agreed terms until changed.
Legal limits
These terms do not exclude rights or remedies that cannot lawfully be excluded. Warranties, liability limits, dispute procedures, or governing law in a signed agency agreement apply as stated in that agreement. These public terms do not replace a broker-client agreement or an insurance policy.
Updates and questions
We may update these terms and will show a new effective date. We will communicate a material change when required by law or an applicable agreement. Agency account holders can reach OnePass through their account support channel. Applicants should contact the agency shown in their intake or portal about an insurance file.
